BMT Group | Island Hino is seeking an Assistant Service Manager to join our team located in beautiful Sidney, British Columbia. This is a full-time, permanent position and reports to the Service Manager. Responsibilities * Review and sign off on sublets for the Service Department, whether charged to the department or a customer repair order. * Review all repair orders to ensure the vehicle and keys are on the premises. * Ensure daily, weekly, and monthly department revenue targets are met. * Meet with the Service Manager weekly for updates and progress reports. * Perform any and all duties assigned by the Service Manager. * Maintain high-quality service repairs to minimize comebacks. * Ensuring that all work is fairly and equally assigned. * Investigating the progress of vehicle completion by conducting periodic spot checks of all jobs throughout the day to ensure timely repairs, quality workmanship and cleanliness. * Understanding and keeping abreast of all federal, state and local regulations that affect service operations, such as hazardous waste disposal, OSHA, EPA, etc. * Maintaining a safe and clean work environment in all service areas. * Overseeing service department schedule and workflow. * Ensuring the service staff members are performing their duties as outlined in the appropriate job descriptions. * Enforcing standards, policies, and reporting practices are followed to established standards. * Keeping abreast of all warranty policies and product changes to maintain effectiveness in this role. * Explaining completed work and charges to the customer if required. * This position is responsible for the receipt and flow of all incoming work, communication with fleet customers and constant communication with mechanical Lead hands & department staff. * Constant communication with fleet dispatchers through portal, email and phone request to obtain all specific vehicle / customer information required for proper repairs, contacting customer and invoicing. * Write up customers’ vehicle issues and concerns or maintenance requirements accurately and clearly. * Must be able to understand, communicate, and evaluate all OEM’s (ADL, Volvo, Allison, Cummins, etc.) warranty guidelines, approval processes and policies during the write up and repair process * Review and adjust technician job reports and punch times as needed. * Provide customers with additional estimates for work change orders after initial diagnostics and obtain authorization prior to commencing repairs. * Liaison Lead Hands on status of vehicle repairs and subsequently contact customer with status changes / promise time as required. * Ensure vehicles are parked in assigned areas, vehicles are locked, and keys are tagged and properly stored. * Explain completed work and charges to the customer. * Ensuring that all repairs are documented, technicians’ comments are descriptive and precise, and that the allotted time is noted prior to closing and billing. * Processing Invoices. * Providing customers with repair estimates and receiving proper authorizations. * Working closely with accounting office personnel regarding customer account changes, customer credits, rebilling issues and clearing the sublet accounts when necessary. * Maintaining and filing all necessary documentation required by the Service Department. * Maintaining a professional appearance and a safe, clean work environment. Knowledge * Technical experience in the medium/heavy-duty truck industry. * At least 1-2 year management experience preferred. * Maintain a high degree of product and technical knowledge. * Knowledge of dealership and fleet maintenance procedures and systems. * Working knowledge of Automotive OEM and supplier/vendor warranty policies.
